APMA Portal - Room Rack

The Room Rack screen provides the PMS user a view of the occupancy and the availability of rooms over a period of time by date / day of week.

Room rack on APMA portal is read only! For drag an drop, Access the reservation (right mouse click), extend and shorten stay users can access the Room Rack in the Full PMS. See PMS Extra menu.

The Room Rack can be accessed via the Information menu in the Portal sidebar menu:

Filters

The following filters are displayed at the top of the Room Rack:

These filters allow user to narrow down the results displayed in Room Rack.

From left to right:

Filter for period, ability to toggle between a 7 or 14 day horizontal view - by default the grid displays a period of 14 days, starting on the selected date;
Date selection - allows the user to select a new start date from a calendar / date pick box. When a new date is selected the screen should use that date as the first day;
Navigation arrows - the arrows allow users to navigate back or forward. The arrow represent 14 days or 7 days depending on the chosen view. If 7 days are displayed on screen, the arrow will navigate 7 days;
Display filter - allows to display the reservation based on Guest name, by Company or by Agent. By default, reservations are displayed by guest name.
Room type filter - allows to display the reservation based on room type;
Room feature filter - allows to display the reservation based on room features;
Housekeeping section filter - allows to display the reservation based on housekeeping section.

When the selected property changes from the top blue navigation bar, The Roomrack will reload a new clean set of data (i.e. 14 Days filter option, selected date is PMS System date for the new property and dropdown filters are empty, Display filter defaults to 'Guest name').

Event details

Displays the Event Calendar entries for each date as entered in the Event calendar module.
The presence of one or more events on a particular day is marked with a red triangle in the top right corner of that particular day.

When hoovering over the date, the following details are displayed:

the date for which the details are displayed
event name - one event per line; max 3 event per day

Rooms

Displays information about room and current status.

From left: room number, room type, and the icon for room status. In above example the status is: Vacant & Dirty

Hoovering over gives more details, for example Floor, number of beds and features:

To change the status of the room, click the three dot icon:

A pop-up screen is displayed which allows to change the status of the room

and gives access to a changes log:

Labels and colors

Displays a label on each row with the reservation assigned to that room. Keep in mind: when a reservation has no room number assigned it is not displayed on the Room Rack.
The size of the label represents the number of days of the stay or maintenance period. The labels give a visual idea of a guest staying the night.
Each label uses colors to indicate the different statuses of a reservation. Color use is the same as on the housekeeping screen. See Housekeeping - APMA portal for more information.

The label contains the following information:

Reservation status based on color of the label;
Full guest name - if the reservation is made for a guest;
Full group name - if the reservation is made for a group;
Group icon in case the reservation is linked to a group;
A padlock icon in case a reservation has the indicator "do not move" checked on the folio. It means this room is fixed;
An icon that indicates a room is OOO;
An icon that indicates a room is OOI.;
An icon in case the reservation is linked.

Reservation details

Hovering over a Reservation shows additional details such as the arrival and departure dates and the current status.
It is displayed once the user hoover the mouse over a reservation label.

Which displays the following details, starting from top to bottom:

reservation number;
main guest name;
room number;
check-in date;
check-out date;
guests details;
reservation status

Drag and drop reservation to another room
